First steps with SEPA-Transfer
What are the first steps in using SEPA Transfer? We will be happy to take you by the hand when you make your first booking.
In most cases, the creation of transfers and direct debits with SEPA-Transfer is done via manual entry or by a convenient data import.
Let the setup wizard help you
When booting up SEPA-Transfer for the first time, our wizard will guide you through the setup of your account.
SEPA-Transfer can only work correctly with a deposited bank account. If you don't want to use your very own bank account for testing, you can use the following sample data:
IBAN: DE27100777770209299700
Name / Address: Jane Doe
Creditor ID: DE98ZZZ09999999999 (needed for direct debits)
Manual Input
In SEPA-Transfer click on "Create new booking" in the upper left corner to create a new booking. The same booking type will be used as for your last booking.
If you would like to select another booking type, open the drop-down menu via the small arrow and choose between bank transfer and direct debit.
Import from file
If your booking already exists in a structured file format such as an Excel or CSV file, you can import it. The following video shows how it works.

With SEPA-Transfer, you can easily convert payment data available in an Excel file into the SEPA XML format.
[On Screen: An Excel sheet named “Payment Data” with the columns Recipient, First name, Amount, IBAN, and Purpose.]
To do this, first prepare your payment data by naming the columns appropriately to make the import into SEPA-Transfer easier.
[On Screen: SEPA-Transfer Enterprise Edition with the Import/Export ribbon; the SEPA-Transfer Import Wizard opens with steps for file type, file path, transaction type, number of transactions, columns, error handling and start import.]
Next, open SEPA-Transfer. Select Import/Export. Click on Import File and select the desired Excel file. Select the booking type and the SEPA-Transfer account to be used. In the preview, you already get a first look at the payment data you are about to import into the program.
[On Screen: In the “Select columns” step, the Excel columns are mapped to SEPA fields such as Recipient, IBAN, BIC, Purpose, Amount, End-to-end ID, Execution date and SEPA Purpose Code, with a live data preview.]
Once you have named the columns appropriately, SEPA-Transfer takes care of the column assignment. Additional fields or errors can be easily adjusted via drop-down. Finally, click on “Execute Import” and all your payment data is stored in SEPA-Transfer.
[On Screen: The message “Import completed successfully” offers the options Send transactions, Export to SEPA XML file, and Edit transactions; the current bookings are shown in a list with an edit form (recipient, IBAN, BIC, amount, purpose, execution date).]
Check the individual entries in the current bookings for correctness. Then you can start exporting the payment data into the SEPA XML format.
[On Screen: The “Export to SEPA XML” dialog lists the transactions and offers options such as transaction type (bank transfer or direct debit), the output path and consolidation settings; a folder picker selects the output directory.]
Select Import/Export again and here “Create SEPA XML file”. Here you can select the open bookings you want to convert to SEPA, either all together or individually. Select the desired output directory and click OK. The conversion is already completed. You can now continue working with your payment data in SEPA XML format.
[On Screen: A “File export” dialog confirms that the transactions were exported successfully and offers to open the file, open the folder, or return to SEPA-Transfer; a wizard step handles invalid transactions.]
One more tip: right after the import, you can also export your payment data to the SEPA XML format with just one click. That way you save even more time with SEPA-Transfer.
[On Screen: Closing screen: “SEPA-Transfer — SEPA Payments With Just One Click”, with a “30 Days Free Trial” button.]
Create booking templates
You can save frequently recurring entries as templates. To do this, check the "Save as template" box at the top, and every entry you make will automatically be saved as a template.

[On Screen: Opening with the “SEPA-Transfer” logo and the title “Buchungen mit praktischen Vorlagen verwalten” (Managing transactions with handy templates). Then the section heading “Buchungsvorlage anlegen” (Creating a transaction template).]
Do you regularly process SEPA credit transfers or SEPA direct debits? SEPA-Transfer stores your transactions in handy templates that you only need to recall the next time.
[On Screen: SEPA-Transfer Enterprise Edition with a transaction form (recipient, IBAN, BIC, reference, amount, SEPA Purpose Code). Caption: “Neue Vorlage automatisch aus Buchung generieren.” (Generate a new template automatically from a transaction.)]
Tick the “Save as template” checkbox when you create a new credit transfer or direct debit in SEPA-Transfer and enter the details. Or click “Save as template” in the ribbon menu once you have entered all the data.
[On Screen: The template list under “Extras” → “Vorlagen” (Templates). Caption: “Alle Vorlagen unter ‚Extras‘ → ‚Vorlagen‘ in übersichtlicher Liste.” (All templates in a clearly arranged list under Extras → Templates.)]
SEPA-Transfer immediately creates your transaction as a new template, which you will find under “Templates” on the “Extras” tab in a clearly arranged list.
[On Screen: Section heading “Vorlagen verwalten” (Managing templates) and the dialog for creating or editing a template. Caption: “Neue Vorlage händisch erstellen und bestehende bearbeiten oder löschen.” (Create a new template manually and edit or delete existing ones.)]
Here you can not only create a new booking manually, but also edit the existing ones, for example if the name of a recipient has changed. You can also simply delete templates here that you no longer need.
[On Screen: The search function above the template list. Caption: “Praktische Suchfunktion für Suche nach Name, IBAN oder Verwendungszweck.” (Handy search function to search by name, IBAN or reference.)]
Or use the search function to look specifically for a recipient name, an IBAN or a reference, for example. Once you have prepared everything, simply click “Create new bookings” – and SEPA-Transfer does the rest.
[On Screen: Section heading “Fixwerte für Buchungen” (Fixed values for transactions). Caption: “Nur feste Kontodaten aus der Vorlage übernehmen und Buchung individuell anpassen.” (Take only the fixed account data from the template and adjust the transaction individually.)]
The smart template management lends you a hand with your daily payment processing. Would you like to take only the account data from the template, such as the name or IBAN, but leave the amount and reference fields empty? Then tick the “Only take over account data” checkbox.
This way SEPA-Transfer helps you, for example, with regular transfers where only the amount or the invoice total changes. In the form, all fixed data is prepared for you, which keeps things clearly arranged.
[On Screen: Section heading “SEPA-Transfer denkt mit” (SEPA-Transfer thinks along). Caption: “SEPA-Transfer passt sich an Ihre Anwendungsfälle an und verhindert Dopplungen von Vorlagen.” (SEPA-Transfer adapts to your use cases and prevents duplicate templates.)]
SEPA-Transfer only creates new templates for IBANs that were previously unknown. So if, for example, you regularly book a payment to a particular recipient, SEPA-Transfer does not create a new template here just because the invoice number has changed.
But it also works the other way around: would you like to create several templates for one IBAN on purpose, for example if you handle SEPA payments in several contexts with the same recipient? The template management helps you with that too. Simply create the different templates under the same IBAN manually.
But you don’t have to worry about getting the fields mixed up, because SEPA-Transfer only saves templates that are not 100% identical to another one. Finally, you can use the search function to list all templates for a particular IBAN.
